What information we collect
Depending on how you contact us and whether you become a customer, we may collect:
- your name and contact details, including telephone number and email address where supplied;
- your address or postcode where needed to assess service availability or prepare a quotation;
- the service you are interested in and information about the property or work requested;
- messages, call notes, quotation details, appointment information and other correspondence;
- customer, job, invoice and payment-administration records where you instruct us to carry out work;
- technical information about visits to our websites, such as device, browser, page and advertising-interaction information, where the relevant cookies or similar technologies are permitted; and
- basic source, route, campaign and service-attribution information used to understand how an enquiry reached us.
Please do not send sensitive personal information through a general website enquiry unless we specifically ask for it and it is necessary.
How we collect information
We collect information directly when you use a website or quotation form, telephone us, send an email or SMS, request a quotation, book work or otherwise communicate with us. The Roof Cleaning quotation journey is hosted at quote.ecodrivewaycleaning.co.uk.
We may also receive limited website and advertising information from the technology providers described below, subject to your cookie choices.
How and why we use information
We use personal information only where we have a lawful basis. The bases that normally apply are:
Responding to enquiries and providing services
We use contact, property and service information to answer questions, assess whether we can help, prepare and follow up quotations, arrange appointments and provide requested work. This is necessary to take steps at your request before entering into a contract and, if you become a customer, to perform our contract with you.
Lead and customer administration
We keep enquiry, quotation, appointment and service records, manage follow-up activity and may send a transactional acknowledgement SMS after a form submission. This supports the requested quotation or service and our legitimate interests in operating an organised, responsive business. The acknowledgement SMS is not treated as permission to send unrelated marketing.
Accounts and legal requirements
We use and retain relevant customer, invoice, payment and transaction information to maintain business records, comply with tax and accounting duties, respond to regulators and establish, exercise or defend legal claims. The relevant bases are legal obligation and our legitimate interests in protecting the business and resolving disputes.
Website operation and security
We use essential technical information to deliver, secure and troubleshoot the websites, prevent misuse and maintain reliable services. This is based on our legitimate interests in operating secure websites. Technologies that are strictly necessary for a service you request may be used without consent where the applicable storage and access rules allow this.
Analytics and advertising measurement
Where you give the relevant consent, we use analytics and advertising technologies to understand website use, measure advertising performance and improve the effectiveness of our services and campaigns. For non-essential cookies and similar storage, we rely on your consent. You can decline or later withdraw that consent without affecting an enquiry or service already requested.
Systems and service providers
We use a limited number of service providers to operate the websites and manage enquiries and customers. They process information for us under their own contractual and security arrangements. Depending on the interaction, these include:
- GoHighLevel / LeadConnector, which hosts the quotation forms and supports lead, opportunity and customer communications management;
- telephone, email and SMS providers used to receive enquiries and send service-related communications;
- ServiceM8 where relevant to later quotation, scheduling, job and customer administration;
- Google services, including Google Ads, Google Tag Manager, Google Analytics where active, and Google Consent Mode;
- CookieScript, which records and communicates website cookie choices;
- website hosting, security and maintenance providers; and
- accountants, professional advisers, insurers, payment providers or public authorities where reasonably necessary or required by law.
We do not sell personal information. We do not treat a website enquiry as consent to unrelated third-party marketing.
International processing
Some technology providers may process information in countries outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, we rely on the provider’s applicable contractual and organisational safeguards. You may contact us if you would like more information about the safeguards relevant to your data.
How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected and for any related legal, accounting, service-history, dispute or claim requirements. We assess retention by considering whether an enquiry became a quotation or customer relationship, whether follow-up remains reasonably expected, the nature of the service, statutory record-keeping duties and applicable limitation periods. When information is no longer required, we delete or anonymise it where reasonably practicable.
Cookie and similar-technology durations are shown in the current declaration in our Cookie Policy rather than being fixed in this notice.
Your rights
Depending on the circumstances, UK data protection law may give you the right to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask for erasure or restriction of processing;
- object to processing based on legitimate interests;
- receive information you provided in a portable format where the right applies; and
- withdraw consent at any time where processing is based on consent.
These rights are not absolute, and an exemption or competing legal duty may apply. To exercise a right, contact us using the details above. We may need information to confirm your identity.
Cookies and changing your choices
CookieScript provides the consent controls on ecodrivewaycleaning.co.uk and quote.ecodrivewaycleaning.co.uk. You can accept, decline or manage non-essential categories. You can reopen the controls using the Cookie Settings badge on the relevant domain.
The two domains keep separate consent choices, so you may be asked to choose again when moving between them. Withdrawing consent does not affect processing that occurred before withdrawal. See our Cookie Policy for more information.
Questions and complaints
Please contact us first if you have a question or concern about how we use personal information. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator. Information about making a complaint is available at ico.org.uk/make-a-complaint/data-protection-complaints/.
Changes to this notice
We may update this notice when our services, systems or legal obligations change. The date at the top shows when it was last updated.
